Summary of Position:

The Project Administrative Assistant will be responsible for performing support activities both clerical and technical in nature as required to assist the Project Architect and architect team and other site personnel on various construction projects. An example of some of the duties involved are creating lists and populating them, printing documents and assembling manuals, preparing data sheets, compiling document packages, and other activities of a similar nature which may be required from time to time. The position requires some experience in a technical environment with strong background in computer applications and online document management

Primary Responsibilities:

· Track change orders, RFIs and submittal packages

· Development and maintenance of technical lists such as phone/email lists, project related forms and others

· Filing, Setup and maintain both electronic and hard copy files

· Writing letters and emails, developing and maintaining data sheets

· Assembling technical portion information for vendor bid and purchase packages

· Develop and maintain meeting and activity schedules for project personnel

· Preparation of document, manuals and information packages

· Setup and maintain both electronic and hard copy files

· Scan and copy documents

· Setting up meetings

· Learning to set up and run video/phone conferences

· Other activities which may from time to time be required

Qualifications:

  • High school diploma or equivalent required; college degree preferred.
  • Experience in administrative support preferred
  • Excellent execution skills, highly focused task completion, follow-up, communication (written and verbal) and time management skills.
  • Requires resourcefulness, strong organization skills, and flexibility with hybrid work location/schedule.
  • Positive outlook, desire to support and interact with others daily in an exciting, challenging, and ever-changing work environment.
  • Ability to meet deadlines while maintaining a professional attitude; great team-player and ability to accept feedback.
  • Must exercise initiative and achieve objectives with minimal supervision.
  • Must be detail-oriented and a problem-solver able to deal with complex situations.
  • Strong computer skills required, proficiency in full Microsoft Office suite, especially Excel and PowerPoint.
