About Us

As we continue to grow, were looking for a detail-oriented, proactive Administrative Assistant to help keep our office running smoothly while supporting the Administrative Director and broader team.

What Youll Do

This role is dynamic, collaborative, and ideal for someone who thrives on variety and enjoys being the organizational glue that holds the team together.

Core Responsibilities:

  • Provide executive support to the Administrative Director
  • Maintain employee trackers for training, certifications, and onboarding tasks
  • Support new hire onboarding (Gmail setup, equipment orders, reference checks, etc.)
  • Handle offboarding logistics (removing access, updating records)
  • Coordinate with vendors for headshots, name badges, and branding updates
  • Submit website updates, business card orders, and supply needs
  • Run occasional errands (marketing material pickup, meeting supplies, etc.)
  • Support company events (setup/teardown, RSVPs, supply orders)
  • Assist with office-wide projects, clerical duties, and general support
  • Step in to assist the administrative team when needed

What You Should Know About This Role:

This isnt your typical 9-5. While much of the work falls within standard business hours, occasional after-hours work is expected, especially during event set-up and tear-down. Youll need to be comfortable running errands around the Vancouver area as needed, sometimes at a moments notice.

Success in this role means being ready to pivot, adapt, and overcome challenges. If youre looking for a cookie-cutter job with a predictable routine, this isnt it. The position is ever-evolving, and we embrace growth and flexibility as part of the journey.

This Role Is Not For You If You:

  • Dont live in the Vancouver area
  • Struggle with time management or consistent follow-through
  • Have difficulty pivoting between tasks

Qualifications:

  • High School Diploma or equivalent
  • Experience in an office or administrative setting preferred
  • Strong written and verbal communication skills
  • Must have reliable transportation for occasional errands
