Job OverviewWe are seeking a highly organized and proactive Office Administrator to join our team. The ideal candidate will play a crucial role in ensuring the smooth operation of our office by managing various administrative tasks, supporting staff, and enhancing overall office efficiency. This position requires strong communication skills, attention to detail, and the ability to multitask effectively in a dynamic environment.
Responsibilities
- Manage calendars and schedules for team members, ensuring efficient use of time and resources.
- Maintain professional phone etiquette while handling incoming calls and directing them appropriately.
- Oversee the front desk operations, greeting visitors and managing inquiries with a friendly demeanor.
- Supervise van drivers and support staff, providing guidance and assistance as needed.
- Arrange maintenance on all van needs.
- Organize office supplies and equipment, maintaining an efficient inventory system.
- Facilitate effective communication within the office, ensuring that all team members are informed of important updates and changes.
- Assist in scheduling meetings, preparing agendas, and taking minutes as required.
- Assist in reconciliation of accounts in and organizing deposits and checks paid out.
Requirements
- Proven experience in an administrative role or similar position is preferred.
- Strong organizational skills with the ability to manage multiple tasks simultaneously.
- Excellent communication skills, both verbal and written, with a focus on professionalism.
- Proficiency in calendar management and scheduling tools.
- Proficiency in google suites workforce.
- Familiarity with Quickbooks a plus.
- Ability to supervise staff effectively while fostering a positive work environment.
- Strong attention to detail with a commitment to maintaining high standards of quality in all tasks performed.
