Job Title: Program Assistant II

Job Summary:

Nature of Work:

Coordinates, analyzes, and establishes the work process of the Office of Professional Risk Management. This involves the management of databases, compilation of data for multiple reports, electronic setup of claims and lawsuit files, and data procedures. This position exists to manage office processes regarding claims management, credentialing activities, and overall office operations. Will serve as the project lead for the Risk Management Information System software program.

Examples of Work Performed:

  • Serves as lead for the continued development and refinement of the Risk Management information system. This includes communicating with vendors on needed changes, providing follow-up with vendors, and making changes to the system as applicable. Keeps the risk management team updated with any changes and develops educational materials as needed. Provides ongoing education to the PRM team on the RMIS system.
  • Responds to questions regarding coverage requests by faculty members.
  • Takes the initiative to implement processes to prevent compromised customer service and missed deadlines. This includes assisting the Director in developing office processes and developing policies and procedures related to claim management.
  • Assists in revising policies to meet the changing needs of the department (i.e. databases to ensure the integrity of the work performed).
  • Drafts and proofs correspondence, documents, presentations, and spreadsheets as requested. Prepare claims reports at the request of the risk managers to include claims trends per clinical department.
  • Serves as the PRM office contact for coverage verification and claims set-up workflows and guidelines. Ensures that workflows are up to date and takes the initiative to update as needed.
  • Analyzes and recommends payment for dental injuries. Coordinates with outside dental offices from estimate to completion of work. Communicates with patients and dental offices throughout the process. Ensures timely payment of dental invoices.

Work Location:

Remote - this role is eligible to work remotely, but the employee must be in the United States. The role may be expected to report to campus for in-person meetings.

Qualifications:

Minimum Qualifications:

  • Four years of general clerical or administrative service experience.
  • One year of experience entering and tracking data.

Applicants must meet minimum qualifications at the time of hire.

Preferred Qualifications:

  • Experience with University Finance Systems: Marketplace and Concur.
  • Experience working with faculty and staff in a higher education environment.
  • Experience with event and meeting coordination.
  • Experience drafting, proofing, and editing professional correspondence, documents, presentations, reports, spreadsheets, etc.
  • Demonstrated experience in creating educational materials and providing educational sessions to small groups.
  • Demonstrated experience in working with a database, including making needed changes, communicating with vendors, and providing feedback to vendors.

Knowledge, Skills, and Abilities:

  • Demonstrated ability to work effectively with the executive team, all levels of health care providers, legal counsel as well as patients and families.
  • Ability to work independently and under pressure to manage multiple concurrent tasks and responsibilities to manage changing priorities.
  • Advanced proficiency with Microsoft Office.
  • Strong interpersonal skills and a commitment to service excellence.
  • Ability to maintain a high degree of confidentiality.
  • Strong communication skills, both oral and written.
  • Ability to solve problems.
  • Proficient in the use of diplomacy in challenging situations.
  • Organization and time management skills.

Anticipated Pay Range:

The starting salary range (or hiring range) for this position has been established as $57,708 to $71,561.

The above salary range (or hiring range) represents the Universitys good faith and reasonable estimate of the range of possible compensation at the time of posting. This position may be eligible for overtime compensation, depending on the level.
