Posting Summary Rutgers, the State University of New Jersey, is seeking an Administrative Coordinator for the Department of Medicine within New Jersey Medical School. The Administrative Coordinator will be responsible for providing administrative support to the Division Director, Program Administrator, and faculty; will act as point of reference for faculty recruitment, which includes collecting applications, scheduling interviews, preparing itineraries, and maintain confidential files. Among the key duties of the position are the following:
  • Maintains Division Directors calendar - Exercises considerable discretion and independent judgement in handling day-to-day matters on behalf of the Division Director.
  • Provides administrative support to the Division Director, Program Administrator, and Faculty.
  • Acts as point of reference for faculty recruitment, which includes collecting applications, scheduling interviews, preparing itineraries, and maintaining confidential files.
  • As applicable, acts as a point of reference for staff Human Resource related matters, which may include staff recruitment efforts, as needed.
  • Responsible for personnel matters for the department/division; maintains time and attendance records, ensures timely completion of forms for Human Resources, Payroll, etc.
  • Acts as principal liaison with various administrative departments and units of the University.
